1. Who we are

ChecksComplete is an aviation compliance management platform operated by SkyConnect BV, a company registered in the Netherlands. We are committed to protecting your personal data and processing it in accordance with the General Data Protection Regulation (GDPR) and other applicable privacy laws.

2. Data we collect

We collect the following categories of personal data:

• Account data: name, email address, and password (stored as a secure hash)
• Pilot profile data: date of birth, licence number, licence type, and issuing authority
• Qualification data: qualification types, issue dates, expiry dates, and any attached documents
• Usage data: log-in timestamps, IP addresses, and platform activity for security purposes
• Payment data: processed by Stripe; we do not store card details directly

3. How we use your data

We use your data exclusively to provide the ChecksComplete service, including:

• Managing your account and subscriptions
• Sending qualification expiry reminders and compliance digests
• Generating compliance reports and PDF exports
• Improving the platform and diagnosing technical issues

We do not sell your data to third parties or use it for advertising purposes.

4. Data storage and security

All data is hosted on servers located within the European Union. Data is encrypted in transit (TLS) and at rest. We apply role-based access controls and regular security reviews to protect your information.

5. Data retention

We retain your data for as long as your account is active. If you cancel your subscription and delete your account, your data is permanently removed within 30 days. Certain data may be retained longer where required by law (e.g. financial records for tax purposes).

6. Third-party processors

We share data with a limited number of trusted third-party processors to operate the service:

• Stripe — payment processing
• Mailgun — transactional email delivery
• MailerLite — newsletter delivery
• Hetzner — cloud hosting infrastructure
• DigitalOcean Spaces — document and file storage
• Google Analytics — anonymised website analytics

All processors are bound by data processing agreements and comply with GDPR requirements.

7. Your rights

Under GDPR you have the right to:

• Access the personal data we hold about you
• Correct inaccurate or incomplete data
• Request deletion of your data ("right to be forgotten")
• Export your data in a portable format
• Object to or restrict certain processing activities
• Lodge a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens)

8. Changes to this policy
